2012/05/032012/05/11If when logging into a Nexus station you see a message indicating your profile can't be loaded and you will have a "temporary profile" loaded instead, please logout and stop by to see Carlos or myself for a quick fix. The problem is due to how Symantec blocks some malicious java code from a website you may have visited (though often I think it's a false positive).

Also, here's a warning to encourage you to get things fixed sooner rather than later if you see this... "Temporary profiles" are not saved so among other problems you'll run into is that files/folders saved to the desktop will be permanently lost. Just thought I'd give fair warning. smiley

2012/04/162012/04/18Our Dept backups and the Nexus backups are only kept for a few months at most. I really recommend to people to make permanent backups of files on all machines (offices, labs, home, laptops) at least once a term - and now is as good a time as any. If you are purchasing CDs or DVDs from a UW account, see Helen and she'll be able to order things for you. "CD -R" or "DVD -R" discs are probably best for archiving files (longer shelf life), but +RW's will probably also do the trick. Consider making two copies of critical stuff (it's not a backup unless there's two). Be sure to store them in a dark, cool, clean area and not on your window sill. Things won't last forever so also consider recopying old discs.

In the same way, if you are copying things to an external disk disk, be sure you have a second copy of everything as all drives will also fail eventually, and probably at the worst time possible.

yikes Due to a recently announced critical vulnerability, IST will block all RDP traffic from off campus to the campus network effective noon on Thursday, March 15th, 2012.

After this time, in order to use RDP, you will first need to install and connect using the UW VPN Service. Once connected with the VPN, you can run Remote Desktop as usual to connect the machines on campus which you have permissions to access.

The documentation which IST provides is pretty straightforward. If you are using RDP to connect to machines on campus, please try to set things up yourself on home machines or laptops ASAP.

Feel free to ask if you have problems.

  • If you seem to be waiting a while for something to happen during the install, check the bottom of your browser window for a message telling you how to continue.
  • It's not necessary to connect/map to a network drive in order to use RDP so you can safely skip that step. Being connected thru the VPN is all you need to use RDP.
  • But, if you do want to map to your Nexus file space, your Nexus N: drive is located at \\artsfile.uwaterloo.ca\youruserid and the lab shares are under \\artsfile.uwaterloo.ca\psych . Also, you'll need to choose the option to "Connect using different credentials" and for your userid enter "nexus\youruserid", and then enter your Nexus password. In this way you can open your UW files files from anywhere in the world in the same way as you open files on your local hard disk (another good reason to avoid things like Dropbox).

We actually do see a lot of brute force attacks to machines with RDP enabled where the bad guys throw a lot of password attempts at machines so the VPN is a good idea anyway to add an extra layer of protection.
  • Apparently there will be issues if you have Kaspersky Antivirus installed. Just un-install Kaspersky and use Symantec EndPoint (SEP, antivirus) which is available at no cost to faculty/staff/students.
  • Using Matlab from a machine off campus also now requires the VPN connection.
  • If you can install the VPN, but not connect, try changing your password on WatIAM.
  • The VPN client doesn't replace RDP - you simply need to connect with the VPN client before you connect in the usual way with RDP.

Nexus stations in teaching labs have been upgraded to SPSS 20 and AMOS 20.

SPSS/AMOS 20 has also been installed on all research lab and office Nexus machines where faculty members requested licenses be purchased (or at least it will get installed automatically the next time the machine reboots).

Installs on non-Nexus machines will need to be done manually. In the next little while, I'll send notes to people who had purchases licenses indicating how to download the install files and also the authorization code to use.

A couple minor issues you may run into with a trivial fix... if you've created shortcuts to Word, Excel or PowerPoint on your desktop yourself, you'll need to delete those (since the old version is no longer there) and create new shortcuts (right-click and drag from the Start Menu). Things should always start properly from the Start Menu.

Also, the first time you start Outlook, the user name name field on the login panel may come up as "MAIL\youruserid". You'll need to change this back to the usual "ads\youruserid". Grad students should avoid Outlook on Nexus stations for now as there's some potential issues with multiple userids logging into the same machine and also quota issues - for the moment, students should stick to the web intereface or thunderbird on Nexus stations.

2011/12/152011/12/20There's a significant number of Windows security updates which have been released recently. These will get applied to Nexus stations automatically so no worries there, but be sure to update any non-Nexus stations (home machines, laptops, etc) ASAP.
2011/12/142011/12/29The 2011 licenses for SPSS/AMOS 19 expire on December 31 with a grace period until January 31 at which time SPSS will stop working. Soon you'll start seeing warning messages about this when you start SPSS or AMOS.

I've sent a note to faculty indicating which machines they had purchased licenses for in 2011 ask asking which machines we should purchase licenses for in 2012. If a faculty member had purchased SPSS/AMOS for you this past year, touch base with them ASAP for a renewal if you need it.

I've asked that people purchasing licenses get back to me with this information by Tuesday December 20th. The paperwork and installs are much much easier if we can do everyone at once. THANKS.

Nexus stations are easy and will get updated automatically. Other machines will need to be done manually. I'll update things here once we have the software and license codes ready to go.

This system employs messages to voicemail on campus phones, text messages to cell phones, and a message to computers that appears as a "pop-up" directing everyone to the special emergency home page. This system is only deployed in the event of major emergencies where there is imminent physical danger.

If you are doing data collection at this time and would like to avoid the pop-up, just let me know the name of the machine.

If that doesn't work, remove the paper tray, wait for the current page to finish printing, remove the power from the printer and wait about 30 seconds before plugging it in again.

UPDATE: Our 80+ Nexus printers were moved to the private subnet over lunch today. You will need to restart your printer before you will be able to print - power it off, wait 10 seconds and turn it on again.

As usual, if there are any problems, let us know asap.

You don't need to change it, but WatIAM will tell you if it is too weak and should be changed. Once set, your WatIAM, Nexus and watarts passwords will all be the same.

UPDATE: We noticed some odd network issues with the new subnet and decided to hold off on the changes we were planning on Thursday.

Printers are still in the original subnet and still vulnerable to the toner bomb attacks. Please leave the printers turned on, and simply open the paper tray to prevent the printer from printing. We'd like you to do this rather than turning them off so that we can check the status of the printers over the network.

If you are dealing with confidential information, you probably don't want to expect people to reply to what is effectively an anonymous account. Individuals also need to keep track of this non-UW address for future emails and prey that someone doesn't forge something similar (such as mark.p.zanna@gmail.com) which we might assume is correct if we vaguely remember Mark had sent something earlier from gmail - again we have no way of verifying unless we ask him if he really sent it. You really should use your @uwaterloo.ca for all UW-related emails. It also makes things easier for people when searching for past emails from you if you always use your same @uwaterloo.ca address so that multiple searches don't need to be done. It's especially important if your gmail address is something like myfishhiccups@gmail.com which doesn't reflect a portion of your name.

2011/07/152011/07/19We've noticed an issue with the autoupdate on a small percentage of systems running Symantec EndPoint (AntiVirus). After downloading several Mbs, the process stops and then restarts a minute later with another download occurring and again failing. This process repeats. This can be a potentially big problem with home machines as you might hit your download cap and Rogers, Bell or other ISPs may charge you extra for your internet service that month.

If you had installed SEP from from the IST SEP download site, check to ensure you currently have version 11.0.6300.803. If you don't you might want to consider uninstalling your current version and installing the latest version. Alternatively, just touch base with me and there's an easier fix we might be able to do (remove the pkg file from the Downloads directory).

2011/03/192011/03/26The APC software pops up a warning after 3 years to replace the battery in your UPS. But, since machines here are usually on 24/7, battery life tends to be longer so it's not unusual to keep a battery for 4-5 years.

Down in the bottom-right of your display near the clock there's a little icon that looks like a computer under a parachute. Double-click on that and as long as the "Estimated Battery Time" is greater than 10 minutes, you should be good. The UPS software is configured to shutdown your system after 5 minutes of no power, so having 10 minutes of battery life provides 5 minutes for the machine to properly save things and shutdown in the event of a power outage. If you want to keep an eye on that, no harm waiting a bit longer before replacing the battery to stretch the life/$$$ of the battery.

The batteries are relatively inexpensive though ($39) so no harm replacing the battery immediately if you are getting the warning and don't want to think about it. Just give the word and we can put an order in.

SPSS 19 has already been installed on most Nexus stations where AMOS 19 wasn't also requested - I'll update machines that are to get both packages (our divisional teaching labs as well) in the next week or so. We're just waiting for ENG to complete the package to automate the AMOS install on Nexus stations.

If a license for SPSS or AMOS has been purchased on a non-Nexus station, login to a Nexus station and click 'Psych Shortcuts' (on the desktop), 'Explore Psych', 'Misc' and 'SPSS 19'. There you will find the files you need along with a file called 'README.txt' which will tell you how to get things installed on non-Nexus machines, laptops and/or home machines. If you are currently reading this on a Nexus station with Internet Explorer just click here to get to that folder (a new window will open).

We now have SPSS/AMOS install CDs. I'll probably ask that the first person to stop by from each lab group install it on the other laptops/non-Nexus machines for that group - we're a bit backlogged at the moment, so the more we can pass off to people, the better. :-) If you need it installed on a home machine, just stop by at the end of the day to borrow the CDs and return them first thing the next morning.

Later this even I'll run something to power down the machine even if you are logged in. A pop-up will appear saying it will power down the workstation in 2 hours. Just let me know if you are really working on it and I'll delay the shutdown on the individual machine.
2011/01/082011/01/09yikes Power will be off in PAS Saturday January 8th from 6am-noon. A neighbouring building which our network connection runs thru will be down from noon-4pm so the network in PAS will not be available between 6am-4pm on Saturday.

Please power down all computers and printers and also turn off UPSs [1] [2] before you leave on Friday. We'll be able to automatically power down any Nexus which are left on which will eliminate the chance of disk errors when the shutdown happens, but we won't be able to power off the UPSs (they will beep until the battery runs dry).

Please don't power up any computers until after 4pm Saturday when the network is back. I'll saunter in on Saturday after 4pm and fire up faculty/staff Nexus stations in the office areas so that those folks can can connect to their Nexus stations with RDP but I'll leave the machines in other areas to individuals to power on.

Obviously backups of D:\users won't happen this weekend. Watarts and artsweb will also not be available during this time. Email accounts on connect (faculty/staff) and mailservices (students) is housed in IST so no interruption there.

2010/10/012010/10/02As of about 3:45pm, UW's big pipe to the outside world is broken. Network traffic is now being handled through a smaller tube so you'll notice accessing off campus sites is slower than usual. IST is investigating.
2010/09/302010/10/08On October 15 IST is shutting down the servers for the old version of Symantec AntiVirus. You'll need to upgrade to the new version before that time to ensure you continue to be protected. All Nexus stations have already been updated, but you'll need to manually check all other machines including laptops and home machines. You'll see one of the following two icons in the system tray in the bottom right corner beside the clock:

I'll post a note here as soon as I get any other updates from the ACO. Feel free to stop by my office to confirm where things are at before you attempt to login in the morning. I'll pop a note on my door if I have to leave the office. I'll also update my voicemail with the status as well, x36638, in case that's more convenient for you to check.

Anything stored on the Arts file server will be unavailable. This includes web studies housed on the artsweb server.

If you are teaching in a classroom and need to login to a Nexus station anywhere on campus while the artsfile server is down, we'll need to arrange for a temporary Nexus account from another faculty (since only Arts is affected). Contact me asap if this is the case. Alternatively a laptop could be used (and hopefully your talk is also stored somewhere besides artsfile).

BTW, if you have RAs or people working in your lab from other faculties, they can login to any Nexus station and carry on as usual (aside from accessing the various psych-lab-* shares obvisouly). Only people in Arts with files/folders stored on the Arts file server are affected.

I talked with IST - they are looking at things, but also had to battle a power outage on that side of campus. They are hoping to have things back to normal by Thursday morning. If you get in and have have problems at that time, let me know and I'll start pestering them.

Be sure to uninstall your old antivirus before installing the new version.

If you have a ThinkPad, you may see a "Solve PC issues" icon in the bottom right corner notifying you of updates. It's probably a good idea to hold off going to the site for a week or so until things are tidied up.

BTW, the "Solve PC issues" icon is normal and expected (it doesn't mean you are infected). If you see this icion, there are probably valid updates to install, but just hold off on applying the updates for week or so.

2010/06/102010/07/07If you've installed Symantec EndPoint (SEP, the antivirus program used on campus) on laptops or home machines, you will soon see a pop-up asking you to update it. Quit any programs you have running and go ahead with the update, it'll take 10-20 minutes so let it finish before you do anything else and once it's done, reboot your system.

If you see the yellow shield in the tray with a small green circle, you're good.

2010/06/062010/06/09yikes A Security Advisory for Flash Player, Adobe Reader and Acrobat went out late Friday regarding a means for the bad guys to take control of a PC, Mac or Unix/Linux machine.

There are reports that this vulnerability is being actively exploited so I've removed the authplay.dll file from our Nexus PCs to disable the exploit. You may want to do the same for any non-Nexus PCs (including Macs on Nexus), home machines and laptops. See the link above for details on how to do this.

Removing the dll file will cause Acrobat to crash if you try to view a PDF with Flash content (the means for the exploit to occur), but that's better than the alternative. :-) If you have a PDF file with Flash content from a source you know is safe, let me know and I'll pop the file back into place temporarily on your Nexus PC so that you can view it - I suspect not too many legitimate PDFs will have Flash content though.

Don't shutdown the machine - just make sure it's powered on and at the login screen. In the wee hours, the machine will reboot and the updates will be applied. This will save you from having to wait 10-30 minutes while the updates happen the next time the machine is booted.

I may check machines after 10pm this evening to see if anyone is logged in and force a logout after a an hour or two (you'll see a pop-up). If for some reason you'd rather not have me do this, let me know the name of the machine and I'll exclude it from my scripts. Please also pass this message on to your RAs in case there are any issues there (hopefully not, but no harm including them).

The ACO will proceed with migrating to the new print server after more testing has been done and they are more sure of the successful implementaion.
2010/05/092010/06/09wow The frequency of backups on Nexus has been increased significantly. Backups of your My Documents folder and the network shares (e.g., psych-lab-dbesner, etc) will occur about once an hour. This means that if you have been working on something and saving regularly, if you accidently clobber the file, you should be able to get a backup which is less than an hour old. Hourly backups will will be available for the previous 48 hours.

As well, Nexus backups will now go back 17 weeks (about 4 months).

2010/04/302010/05/05Avoid placing computers on the floor. Cleaning staff are instructed to not move things and as a result, there's a lot of dirt and dust in most rooms. If a computer is on the floor, it will basically act as a very costly air cleaner. Computers need to circulate air to cool themselves, the air gets pulled into the computer and the elctro-static charge causes the dirt and dust to stick to the computer components. Unfortunately the coating of dirt and dust prevents the components from cooling causing overheating and failure requiring $$$ to fix.

Anyway, keep computers on your desk, or if you have room, consider putting it on the bookshelves behind your desk.

2010/04/232010/04/30Our Dept backups and the Nexus backups are only kept for a few months at most. I really recommend to people to make permanent backups of files on all machines (offices, labs, home, laptops) at least once a term - and now is as good a time as any. If you are purchasing CDs or DVDs from a UW account, see Helen and she'll be able to order things for you. "CD -R" or "DVD -R" discs are probably best for archiving files (longer shelf life), but +RW's will probably also do the trick. Consider making two copies of critical stuff (it's not a backup unless there's two). Be sure to store them in a dark, cool, clean area and not on your window sill. Things won't last forever so also consider recopying old discs.

In the same way, if you are copying things to an external disk disk, be sure you have a second copy of everything as all drives will also fail eventually, and probably at the worst time possible.
